Introduction:

Organisation structure: Human Resource & Administration Reports directly to: Country Manager Other reporting to: Regional HR Director Location: Shin-Yokohama, Japan Purpose of the Job / Job Mission Being a valued member of the leadership team responsible for supporting the organization in achieving success for growth and effective workforce. Perform as proactive partner with the business to maximize organizational performance through the development and implementation of HR strategies and plans, and leading the HR team in delivering high value HR services across the organization.

Responsibilities:

  1. Work closely with regional HR team in Singapore to ensure IA and foreign local hire management is in line with policy and guidelines.

Performance Management & Compensation

  1. Review objectives setting for employees to ensure adherence to the Employee Performance Management & SMART guidelines.
  2. Handle monthly payroll activities including update of employee records, overtime pay, generate reports.
  3. Maintain and update the payroll database for BYOK staff and auxiliary.
  4. Work with Country Manager and Regional HR Director on annual salary review and bonus review process.

Recruitment, On-boarding & Exit

  1. Responsible for recruitment activities which includes advertising, employment agency management, resume screening, interviewing, selecting, salary benchmarking and recommendations, conducting reference checks, offering and negotiating.
  2. Prepare welcome package and conduct new employee orientation.
  3. Prepare letters for new employment, confirmation, transfer, promotion, resignation and termination.
  4. Manage exit procedure in compliance with local labour law.

Learning & Development

  1. Support Managers in learning and development needs of employees including recommendation, sourcing of external training and program evaluation.
  2. Review and plan external training program.
  3. Work with Country Manager, Line Managers and SEA Learning Centre hub for nomination of internal trainings.

Employee Relations

  1. Maintain employee grievance and prepare warning letter if needed.
  2. Prepare retrenchment process and severance payment to ensure the process are in line with government regulations.
  3. Maintain company regulations to ensure the company regulations are adhere to group and government regulations.
  4. Maintain permits and legal requirements related to HR to ensure all permits and requirements are fulfilled and valid.

Office Management

  1. Supervision of HRA Officer and Assistant.
  2. Contact point to other entities for operations related matters.

Reporting & Survey

  1. Timely update of SuccessFactors for changes in employee data such as new hire and exit.
  2. Monthly headcount update and report.
  3. Participate in HR related surveys.

Others

  1. Support improvements in HR related work processes, benefit scheme and policies review.
  2. Drive HR projects roll out.

 

Knowledge, Skills and Abilities

  1. Agile mind-set and ability to multi-task
  2. Ability to work independently and as a team
  3. Excellent communication skills, both spoken and written effective in dealing with different levels in the organization as well as different cultures
  4. Proactive and positive attitude with continuous improvement mindset to drive changes
  5. Experience and knowledge on all the end-to-end HR topics
  6. Proficiency on Japanese Labor Law
  7. High degree of discretion when dealing with confidential information
  8. IT savvy and familiar with commercial HR software
  9. Meticulous, analytical and good problem-solving skills
  10. Pro-active, flexible and adaptable
  11. Strong business acumen and HRBP mind-set to enable business through alignment with HR strategies


Requirements:

  1. At least 7 years of HR generalist experience
  2. Experience in office management/administration 

Desirable:

  1. Experience working in multinational companies
  2. Tools: Microsoft Office and internal software such as SuccessFactors
  3. Good experience in employer branding and partnership with universities
  4. Able to work under pressure

Qualifications

Educational Requirements

Mandatory:

  1. Degree in Human Resources Management, Business Administration, Psychology or related course
  2. Good knowledge of local labor law and social insurance

Desirable:

  1. Good command in business English level
