PRIVACY POLICY

The Gemini Personnel Group strives to provide excellence in professional service to both clients and candidates.

We observe a strict code of ethics and confidentiality and maintain secure computer systems and internet servers according to best current information technology practice.

We observe the requirements of the personal data and privacy laws in all our countries of operation. The purpose of collecting data from clients and candidates is in order to provide recruitment services. The information is in the public domain or is provided voluntarily to us by candidates or job seekers seeking employment opportunities and by companies for assisting them with their staffing needs.

Candidates

We maintain a policy of strict confidentiality of all personal data submitted by candidates whether by mail, email, fax or through registering through our website or at our offices. Candidate information is held on our secure databases and files and is accessible to all Gemini consultants in all countries of operation. It is our practice to reveal applicants’ personal details to clients only just prior to interview stage and after receiving approval from individuals. We don’t charge candidates any fee for using our services.

We are a member of National Personnel Association (NPA), an international network of recruitment specialists. We may share candidates’ and clients’ details to support specific assignments. These details will be kept within NPA’s secure internet system.

We are licensed as an employment agency by the relevant government departments in each of our countries of operation. We must meet the standards for data management by personnel agencies as requested by the relevant government agency in each country and officers of the relevant departments may have the right of access to Gemini’s data at any time.

Candidates can contact datamanager@gemini.com.hk for data change requests or to have their records removed from our databases. We may ask candidates to verify their identity and for more information about the request. Where legally permitted, we may refuse the request and give reasons for doing so. Where the candidate requests that personal data be updated and there is a dispute about the facts, we will make a note on the personal data of such dispute. Candidates may also request that we stop using their information and we will comply with this request. However, if this involves a request for deletion of a file, please be aware that we may not be able to do so for technical reasons.

Gemini consultants may periodically contact candidates who have registered with us some time previously in order to ascertain their current employment status or to promote vacant positions. We may collect personal data from candidates including (without limitation) name, contact details, qualifications, work history, right to work in a particular country, languages spoken, professional memberships and accreditations, work objectives and other information from a cv and interview. If candidates are to be considered for a particular position, we may also collect references from nominated referees.

We reserve the right to verify information supplied voluntarily by candidates. Such verification may include, but is not limited to, the checking of academic qualifications with issuing authorities, the confirmation of previous employment records including salary details and the contacting of designated referees.

We may also search social networking sites (including, but not limited to, LinkedIn, Facebook and Twitter) and use search engines to validate background information on candidates. In addition we may conduct searches of internet sites as part of reference checking procedures.

Companies

As part of Gemini’s ongoing business activities information is collected on clients and potential clients and used for the purposes of matching candidates to job orders, business solicitation and the sending of candidate details, information and newsletters. We may employ third parties on a secure basis to assist with such activities.

Companies who wish to be removed from Gemini’s databases or have details updated should email datamanager@gemini.com.hk

Use of Cookies

Cookies are small files that a site or its service provider transfers to a computer’s hard drive through a Web browser (if allowed) that enables the site’s or service provider’s systems to recognize a browser and capture and remember certain information. They are used to help us understand preferences based on previous or current site activity, which enables us to provide improved services. We also use cookies to help us compile aggregate data about site traffic and site interaction so that we can offer better site experiences and tools in the future.

It is not Gemini’s policy to share data on candidates or clients with any third party organization other than detailed above.
